Searching jobs

Find jobs directly in your RB database using various search criteria. View job details and update information.

  1. Set search criteria

    1. Calendar > Jobs (List View)/Jobs (Monthly View)/Jobs (Weekly View)
      (See Viewing job calendars.)
    2. In the Search By pane, no specific filter is required, but you must use at least one of the search filters:
      • Job No.

        List View only
        Enter the entire job number.

      • Job Date From/Job Date To

        List View only
        Default is tomorrow’s date. Click date navigator button in these fields to enter a scheduled job date range (see Date Navigator).

      • Party Type

        Ordering Party is the default. To search by another party to the job, select Other Party in the drop-down.

      • Ordering Firm/Other Firm

        Click lookup button to restrict search to one firm’s jobs in the Lookup Firm popup. See Looking up firms.

      • Ordering Contact/Other Contact

        Click lookup button to restrict search to one contact’s jobs in the Lookup Contact popup. See Looking up contacts.

      • Scheduled By
        Click lookup button to restrict search to jobs scheduled by a single contact in the Lookup Contact popup. See Looking up contacts.
      • Job Status

        Stage the job is in, e.g., New or Cancelled. Default is all except Cancelled. Click look up button to restrict the results (see Lookup panel). Job status options, including color coding, are set in Lists > Jobs.

        TIP: Check for online job requests

        If you offer clients the ability to schedule jobs through RB Connect, select Request New, Request Confirm, and Request Cancel in Job Status to make sure you have not overlooked any client online requests.

      • Job Type

        Categories of jobs requested by clients. Default is ALL. Click lookup button to restrict search to specific job types (see Lookup panel). Job type options are set in Lists > Jobs.

      • Witness

        List View only

        Enter part of a deponent’s name.

      • Business Units

        Profit centers or parts of your business you track separately. Default is ALL. Click lookup button to restrict search to jobs tied to specific BUs (see Lookup panel). BUs are set in Business Units.

      • Sales Rep

        Click lookup button to restrict search to jobs that are commissionable to a specific sales representative in the Lookup Resource popup. See Looking up resources.

      • Case

        To select a case, see Looking up cases.

      • Case Type

        Click lookup button to select one or more categories of cases in the Lookup Case Type popup. Case types are set up in Lists > Cases.

      • Parent Firm

        Click lookup button to look up and select the firm’s headquarters. See Looking up firms.

        TIP: Viewing jobs of multiple-office firms

        If you have a client that has multiple offices, group them together by designating the main office as the “parent firm” of each of the offices (including the main office) in their firm set-up. That way you can search the job calendar by the parent firm and see all of the related offices’ jobs in one calendar. See Adding firms to RB.

      • Job Location

        Enter part of the location name for the job location.

      • Job Location City

        Enter part of the city name for the job location.

      • Job Location State

        Default is ALL. Click lookup button to restrict the search to specific states (see Searching in RB).

      • Job Entered From/Job Entered To

        List View only
        Click date navigator button in these fields to enter a date range for when jobs were entered into the calendar (see Date Navigator).

      • Notation

        List View only
        (24-character limit) Your own shorthand codes, such as “V” (for video), “RT” (for realtime), “1 of 2,” or “Daily,” that you enter in jobs so you can see this information in the results grid at a glance.

  2. View results

    1. Click search button. All jobs that fit the search criteria appear in the results pane/monthly calendar/week at a glance color coded for job status.
      • In List View, results grid is customizable (see Customizing grids).
      • In Monthly View, click the bar at the bottom of a day’s box to see the complete list of jobs for that day in a results grid like List View. The Day View grid is customizable.
      • In Weekly View, vertical scroll bars appear where a day’s list of jobs is longer than the Display Height selected in System Preferences > Calendar > Weekly View.
    2. Click a hyperlinked job to view details. To update the job, see Updating jobs.
