Canceling jobs
To maintain a paper trail, jobs in RB cannot be deleted. They can only be canceled or rescheduled. When canceling a job, all associated tasks are canceled too. If the job was scheduled as a Zoom meeting, the Zoom meeting will be canceled too (as of meetings scheduled with RB 9.30 or later). You can alert clients and resources to the cancellation immediately from within the job or later.
Find job to cancel
- Calendar > Jobs (List View)/Jobs (Monthly View)/Jobs (Weekly View)
- In Jobs (List View)/Jobs (Monthly View)/Jobs (Weekly View), find and select the job you want to cancel. See Searching jobs.
- In the View Job window, click Edit.
Change status to canceled
- In the Edit Job window, click Status field’s
> Change Status to Cancelled.
- In the Change Status panel, click Save. Then click Yes in the Change Status popup to cancel the job. If this was a Zoom meeting, a second Change Status popup appears. Click Yes here to cancel the Zoom meeting.
Send confirmation/notification
- A popup appears asking if you want to send a Job Cancellation notice. To send your client confirmation, click Yes in the popup. Then:
- In the Options panel, change the cancellation template in the Form drop-down, if needed.
- If you want to preview/edit the cancellation email or attach files, click Show mail composer to select Yes.
- Select a different email address in the From drop-down if you don’t want to send the email from default address shown. Email addresses and the default are set in System Preferences > General > Email.
- Click OK. If previewing the email, see Emailing from RB. RB sends the email, changes Status to Cancelled, makes an entry in the job’s Notes Log and Status History Log, and makes an entry in the Email Log (RB9 only).
- If resources were assigned to the job and their email addresses are on file, a popup appears asking if you want to send Assignment Cancellation notices.
TIP: Resend job cancellation notices from within the job
If you need to resend a Job Cancellation notice to a client, you could go to Send Job Confirmations/Cancellations to resend the notice. Or you can click More > Send Job Cancellation in the Edit Job window, then follow the above instructions for “Send confirmation/notification.”
NOTE: Cancel linked job at same time
If there is a job linked to this job, a popup appears asking if you want to open the linked job. In most cases, a linked job is a video job for the depo being cancelled, so in those cases, click Yes. Then in the linked job’s View Job window, click Edit and continue from Step 2 above.
