Notifying resources individually

You can notify resources individually when assigning a task or canceling a job or task. Notifications can be sent via text or email or both, and include attachments.

  1. Select contact method

    In the Send Assignment Notification/Send Assignment Cancellation panel, check the contact method box(es) for notifying the resource.

    If the resource does not have a contact method checkbox (or the checkbox is grayed out), the resource is missing contact information in their profile. To add the resource’s contact information to their profile, see Updating resources.

  2. Select options

    1. In the Email Options pane, Form Type is uneditable, and the default Form comes from Tools > Form Templates:

      • Form Group/Form

        Select options in these drop-downs to send a different form than the default. To modify RB’s default templates or create additional ones, see Creating/updating forms & letters.

      • Show mail composer

        Click to select Yes if you want to preview and/or edit the notification message. You can also add files manually to the email with the mail composer.

      • Email/SMS From
        Select a different address in the drop-down if you don’t want to send the message from default shown. Email addresses and the default are set in System Preferences > General > Email.
    2. Click Send. If you are previewing/editing/attaching files, see Emailing from RB.
      NOTE: Include specific types of files in notifications

      To automatically include files, such as notices, see Attaching files to notifications automatically.

  3. Finish

    After RB sends the message, click OK in the popup that appears. RB records the date and time in the task’s Notified Date field, and makes an entry in the job’s Notes Log and RB9’s Email Log (RB9 only).

TIP: Save time with mass notifications

Instead of sending notices one by one, send them in batches by using Send Assignment Notifications/Cancellations.
