RB User Guide > Calendar > Tasks OR Send Assignment Notifications/Cancellations
Attaching files to notifications automatically
When notifying resources either when assigning a task or when using Send Assignment Notifications/Cancellations, you can attach additional files manually. (Resource worksheets are attached automatically.) However, save time and never miss a file by setting RB up to automatically send certain types of files for you. You can delete automatically attached files on an email-by-email basis (see Emailing from RB).
Create file types
- Setup > Lists
- Click Repository.
- Click File Type.
- RB includes a set of default file types, including Notice. Create additional types or update existing ones, if desired. See Customizing lists.
Attach files types to email type
- Setup > System Preferences
- Click Calendar.
- Click Assignment Notification.
- In the Calendar-Assignment Notification panel, click Edit.
- Click in the File types to be automatically attached to email from Job-level and Case-level repository field and select Notice (or your custom file type) in the drop-down.
- Repeat step 4 to add additional file types to automatically include in assignment notification emails.
- Click Save.
Designate file type in repository
- In an Edit Job window, scroll or jump to Repository pane.
- Click
.
- Add file(s). See Uploading files to a repository.
- When setting file options in the New Repository panel, select Notice (or your custom file type) in the File Type drop-down. RB will attach the file automatically to the assignment notification email the resource gets from the office.
TIP: Resource Worksheets can be attached or embedded
Forms like assignment notifications, AKA Resource Worksheets, are already set up in RB to be automatically attached to notification emails. You can choose to have them attached, embedded or both in System Preferences > Calendar. See Customizing communications.
