Store files in their related repository within individual cases, jobs, tasks, witnesses, invoices, firms, contacts, locations, and resources. If you have a file to share with resources, such as a blank billing sheet, upload it to the All-Resources level repository in the central repository.
File name length can be up to 256 characters so you can write detailed file names to make it easier to distinguish files in your repositories.
Categorize files by selecting their file type to make searching easier and to have RB9 automatically attach relevant files to emails.
You can also publish specific repository files and designate who can have access to them through RB Connect. Plus send email alerts to contacts that files are available for download.
You can upload files of any type and size to RB9’s repositories. However, we generally do not recommend uploading files over 100MB in size. Instead, break up large files into several smaller files before uploading.
Save time by uploading multiple files at a time.
Click in the Repository pane of a case, job, task, witness, invoice, firm, resource or location. The Select Files panel appears.
Uploading files in the Repository pane of a Resource window only allows file access to that specific resource. If you want to give all resources access to a file, you must upload it in Production > Repository. In the Repository window, click New > All-Resources level.
In RB9, you can upload files to the repository in 2 ways:

Repository files are always accessible to your office, and the default access is ALL, meaning others (clients and/or resources) have access through RB Connect. You can restrict access to your company only, or your office and clients/resources by selecting from this drop-down.
Access Types “ALL” and “Contacts and Office” give file access to all contacts associated with a job/case, their seniors, and Sold To contacts for a witness. If you don’t want to give an included contact access to a specific file in the Witness-level repository in Turn In, you can remove their access. For example, if Witness A has a PDF transcript, video, and exhibits in the repository, you can designate that Contact 1 can access only the PDF transcript and exhibits, while Contact 2 can access only the PDF transcript and video file. When uploading multiple files at once, save time setting file options by clicking Set Value > Access Type/File Type/Publish. In the Set Value panel, set the option’s value (such as File Type: Exhibit), then check the boxes of the files in the Apply To list you want to have that option. Or check the box at the top of the list to select them all. Click OK.
In the New Repository window, click Upload file(s).
If a file with the same name already exists in the Repository, a popup message appears. If the repository file with the same name is due to a failed upload attempt previously, you can choose to remove the existing file, then continue uploading the correct file. Otherwise, if the file has the same name as a file that uploaded correctly, you will be told to rename the new file and try again. Click OK.
Make resources’ lives easier by giving them a blank billing sheet when notifying them of jobs. Upload your blank billing sheet to the All-Resources repository with Billing Sheet as its File Type. Then in Setup > System Preferences > Calendar > Assignment Notification, select “Billing Sheet” in File Type to be automatically attached to email from All-Resources-level, Firm-level, Job-level, Task-level, and Case-level repository drop-down.
