Alerting clients

RB9 only

If you have RB Connect, email clients to tell them they can access their files after you have published them online. Or alert clients when you have published a Transcript Package to their RB Connect account.

  1. Select files

    Repository files only

    1. In the Repository pane of a case, job, witness, invoice, firm, resource or location, check the box(es) of any file(s) you want to include in an alert email to a client.
    2. Click alert client button.
  2. Select recipients

    Continued from Step 1 for repository files or from Assembling transcript packages.

    1. In the Send To panel, your RB Connect site name appears in the Connect Site drop-down. If you have more than one RB Connect site connected to your RB9 database, you can select the appropriate one in the drop-down. (Your site name is set in General Connect preferences.)
    2. The ordering contact, job party contacts, and any of their seniors are listed under Accessible Contacts. Sold To contacts are selected by default. If you do not want to notify a Sold To contact about the uploaded file, uncheck their box. Grant Access contacts are indented and labeled “Grant Access” in the Access Level column. Check the boxes of any Grant Access contacts you want to notify. (Any contacts missing a checkbox means they do not have an email address in their RB9 file. See Entering general contact information.)
    3. Click Next.
  3. Customize alert & send files

    1. In the Email panel, the email recipient(s) you selected appear in *To. Default information from your preferences appears in *Subject and *Message. (Defaults are set in Connect Preferences > Contact–Repository or Contact–Transcript Packages.) You can edit recipients, add Cc’s and Bcc’s, edit content, and attach files.     2. Click Send. RB9 sends the email and logs it into the Email Log.
