Restricting contacts’ file access

Access Types “ALL” and “Contacts and Office” give file access through RB Connect to all contacts associated with a job/case, their seniors, and Sold To contacts for a witness. If you don’t want to give an included contact access to a specific file in the Witness-level repository in Turn In, you can remove their access. For example, if Witness A has a PDF transcript, video, and exhibits in the repository, you can designate that Contact 1 can access only the PDF transcript and exhibits, while Contact 2 can access only the PDF transcript and video file.

Continued from Adding ordering parties. (You cannot restrict access to Witness-level repository files without generating invoices for parties first.)

  1. Find file in Witness repository

    1. After generating invoices for parties ordering transcripts or other services, if you want to restrict which parties have access to a specific file associated with the witness for the job being billed, click the hyperlinked witness name in the Witnesses pane of the Edit Turn In - Job# window.
    2. In the View Witness panel, click Edit.
    3. Scroll or jump to the Repository pane. All files uploaded to the selected witness are listed.
    4. Click the hyperlinked file name of a file with Access Type “ALL” or “Contacts and Office” to restrict individual contacts’ access to the selected file.
  2. Set access for individual contacts on the file

    1. In the Edit Repository panel, click More > View Accessible Contacts.
    2. In the View Accessible Contacts panel, all Sold To parties for the witness and contacts granted access to from the sold to contact are listed, and by default their Allow column is checked. To update accessiblilty, click Edit.
    3. In the Edit Accessible Contacts panel, uncheck the Allow box for any contacts you do not want to have access to the selected file through RB Connect.
    4. When finished, click Save.
  3. Copy access levels to other files

    1. If you want to set the same access levels to other files in the repository, click Copy To.
    2. In the Copy To panel, check the box(es) of the file(s) you want to give the same access levels to. Then click Save. In the popup that appears, click OK.
    3. When finished, click Close in the View Accessible Contacts panel.
NOTE: Individual contact access restrictions work in Witness-level repositories only

While you can view which contacts have access to a file in repositories in View Case/Edit Case and View Job/Edit Job windows, you cannot restrict access for individual contacts to these files.
