Generating invoices

In Turn-in, you begin the billing process by entering information about the witness(es), attending parties, firms to bill, and services ordered. If resources submit billing sheets through RB Connect, most of this information is entered into RB9 automatically.

  1. Find job

    To find the job you will turn in, see Searching Turn In. Or, if you are in a View Job/Edit Job window, click More > Turn In (see Updating jobs).

  2. View details

    1. In the View Turn In - Job# [selected job] window, click detail button next to:
      • Job No.
        To view/edit job details. See Updating jobs.
      • Case
        To view/edit the related case’s details. See Updating cases. (If there is no related case, this field is inactive.)
    2. The Job Date, Production/Billing Notes, and Case Warning appear at the top of the window for your reference and are uneditable.
  3. Add witness(es)

    The first step is to create the witness record(s) for the job. See Adding witnesses. If you do not have resources turn in jobs through RB Connect, you can upload ASCII files here and generate RB-PDF Transcripts.

  4. Add parties

    After saving a witness, add button and prefill button appear on the Invoices pane in the Edit Turn In - Job# window. To add parties and generate invoices, see Adding ordering parties.

    NOTE: Restrict individual contacts’ access to a file

    After you add parties, you can turn off specific parties’ access to specific files in the Witness-level repository of the job. For example, if Witness A has a PDF transcript, video, and exhibits in the repository, you can designate that Contact 1 can access only the PDF transcript and exhibits, while Contact 2 can access only the PDF transcript and video file.   5. Add services

    With invoices started for all parties to a job, add services requested and prepare invoices. You can pay resources for miscellaneous services you are not charging to the client, such as parking. See Adding & updating services.

  6. Enter billing information

    Populate invoices with client and 3rd-party billing information, choose invoice messages, upload repository files, and enter notes. See Adding billing information to invoices.

  7. Set invoice headers & messages

    Instead of the default RB9 header and message, you can apply your own custom text to one or more of the invoices being prepared at once. See Selecting invoice headers and Selecting invoice messages.

NEXT: All service items produced? Then finalize invoices

In addition to generating invoices for all ordering parties to a job, your production staff produces any service items requested (see Generating production sheets), sends produced items to clients (see Shipping to clients), and checks them off as produced on the invoice (see Adding & updating individual service items). Then your billing staff finalizes the invoices.
