Customizing communications
Depending on the function you are sending communications from, you can customize the default templates for email, SMS text messages, and/or iCalendar attachments sent from the function.
- Setup > System Preferences or Connect > Connect Preferences
- In the preferences list, select the function you want to customize, then click Edit in the function’s panel.

Send Method
If the email has the option, select how you want form information included in emails from the drop-down.
- Attach as PDF – Form will be converted to a .pdf file and sent as an attachment.
- Embed as email body – Form will be added to the email message with its formatting intact.
- Embed as email body and attach as PDF – Form will be included both ways in emails.

Email Subject
Customize the default header for the function’s emails:

SMS Subject/SMS Message
Customize the default header/body content for the function’s text messages:
- Enter/edit text in the field.
- Insert data fields – Click your cursor in the field where you want to insert a data field, then click
> [category] > [data field]. The data fields available are contextual, meaning that only data fields relevant to the text message’s purpose are listed.
IMPORTANT: Keep your text messages brief & to the point
When crafting SMS messages in RB9, keep in mind that different carriers have different character limits for text messages (some as short as 67 characters for Subject and Message combined). If your message is too long, it will be truncated and missing important information.
Keep messages as short as possible to ensure that the recipient receives the full text. SMS is just an instant notice for additional email notification, which would be more detailed.
Additional points to keep in mind:
- Merge fields could expand your message to beyond the cutoff range, so try to plan for that. For example, what you see in the set up as «Case_Name» could expand to 80 characters in an actual SMS message.
- Subject lines are usually limited to 40 characters, so do not use data fields in the Subject line except JobNo or JobDate.
- Do not put URLs in the Subject line. They should go in the body of the message.
- If a URL is long, consider using one of the URL shortener services, such as TinyURL, to minimize the characters in a URL link.

Attach iCalendar
Click to select Yes to include an iCalendar event.

If Attach iCalendar is checked, customize the default header/description for the function’s iCalendar event:
- Enter/edit text in the field.
- Insert data fields – Click your cursor in the field where you want to insert a data field, then click
> [category] > [data field]. The data fields available are contextual, meaning that only data fields relevant to the iCalendar entry’s purpose are listed.
NOTE: Customize attached/included forms also
Some RB9 emails (Assignment Notification, Assignment Cancellation, Job Confirmation, and Job Cancellation) include forms that contain related information. You can customize the content of these forms, even add new forms, in Form Templates.
