Setting system preferences > Billing

Set default preferences for RB’s Billing module.

Step-by-step instructions

  1. In Setup > System Preferences, click Billing.

  2. Click Invoices, then Edit to set defaults for your invoices.

    For Printing Options > Invoice Format, you have 4 options:

    1. Classic
    2. Classic-No Remittance
    3. Classic – Credit Card (AMEX/MC/VISA)
    4. Classic – Credit Card (MC/VISA)
  3. Below Invoice Format are 4 options:

    1. Transcript copy is certified
    2. Print job location if exists
    3. Stamp “PAST DUE’ when balance is still due
    4. Print Bill To's phone number & fax number

  4. Click Email Settings to set up the default email that is sent to clients if you plan to email invoices. Enter text in the Email Subject and Email Message, and click their drop-down arrows (drop-down arrow) to insert merge fields. Send Method is not editable. The invoice itself will attach to the email as a PDF. Click Save.

  5. RB9 only: Click LEDES 1998B if you have clients that request electronic billing in LEDES 1998B format. RB9 has the ability to export as a specific file type using the Export Invoices function, so the file can be emailed to clients requesting that format.

    To change the defaults, click Edit. If your clients require a different file type than TXT, update the (required) Default file extension. And if you bill $0 amount service items, you can exclude those service items in the export by setting Do not export zero amount Service Items to Yes. Click Save.

  6. RB9 only: If your state allows an incentive program for clients using your services, click Reward Points. Clients can earn Reward Points in a way similar to frequent flyer programs. By default, Reward Points is disabled. Set Use Reward Points System to Yes to enable this feature. Then set the options in the image for points generating. (For explanations of the options, see Reward Points preferences in the User Guide.)

  7. If you do not enable the Reward Points System, you will not have to fill in the above.
