Rescheduling jobs

To maintain a paper trail, jobs in RB cannot be deleted. They can only be canceled or rescheduled.

  1. Find job to be rescheduled

    1. Calendar > Jobs (List View) (See Searching jobs.)
    2. In the results pane, click the hyperlinked job you want to reschedule. You can reschedule any job, except canceled jobs.
    3. In the View Job window, click Edit.
  2. Reschedule job

    1. In the View Job window of a job you want to reschedule, click Edit.
    2. In the Edit Job window, click More > Reschedule Job.
    3. In the Reschedule Job panel, enter a new *Job Date, *Start Time and *End Time times (all required), and the name of the contact who rescheduled the job in Remarks.
    4. Click OK. RB automatically:
      • Changes the job status of the original job to Cancelled.
      • Creates a new job by replicating the canceled job.
      • Opens the new job’s Edit Job window to the Parties pane.
      • Records the event in the Status History Log of both jobs.
    NOTE: Zoom info stays the same for rescheduled jobs

    If the rescheduled job is a Zoom meeting, the Zoom meeting date and time are automatically updated, so you do not have to send clients a new Zoom meeting ID and passcode.

  3. Send confirmation/notifications

    1. A popup appears asking if you want to send a Job Cancellation notice. To send your client confirmation, click Yes in the popup. Then:
      • In the Options panel, change the cancellation template in the Form drop-down, if needed.
      • If you want to preview/edit the cancellation email or attach files, click Show mail composer to select Yes.
      • Select a different email address in the From drop-down if you don’t want to send the email from default address shown. Email addresses and the default are set in System Preferences > General > Email.
    2. Click OK. If previewing the email, see Emailing from RB. RB sends the email, changes Status to Cancelled, and makes an entry in the job’s Notes Log and Status History Log.
    3. If resources were assigned to the job and their email addresses are on file, a popup appears asking if you want to send Assignment Cancellation notices.

      If you send an Assignment Cancellation notice, RB makes an entry in the job’s Notes Log.

  4. Update any information

    If any job information changed in addition to the date, edit that information before sending job confirmations. See Scheduling jobs.

  5. Send confirmation

    In the Edit Job window of the new job, click More > Send Job Confirmation to send a confirmation of the new job to the client. See Confirming single jobs.

  6. Save job

    In the Edit Job window of the new job, click Save & Close.

TIP: Can’t reschedule a canceled job? Copy it instead

If you want to use information from a canceled job for a new job, click More > Copy Job in the canceled job’s Edit Job window. All job information will copy to a new job except the job date.

NOTE: Viewing Status History

In an Edit Case/Edit Job window, options button > View Status History to see the log of status changes, when they happened, who was responsible, and any remarks they entered at the time.
