Confirming single jobs

When setting a job, get confirmation from the client that this is what they want. You can send a confirmation notice for a job as soon as you create it. Then track their response.

  1. Send confirmation notice

    1. After saving a new job, click More > Send Job Confirmation in the job’s Edit Job window. (See Scheduling jobs.)
    2. In the Options panel, select the confirmation template you want to use in the Form drop-down.
    3. If you want to preview the job confirmation email you will be sending, change the sender, manage recipients, edit the subject and/or message before sending, or add/delete file attachments, click Show mail composer to select Yes.
    4. Select a different email address in the From drop-down if you don’t want to send the email from default address shown. Email addresses and the default are set in System Preferences > General > Email.
    5. Click OK. If previewing the email, see Emailing from RB. RB sends the email, makes an entry in the job’s Notes Log and Status History Log, and makes an entry in the Email Log (RB9 only).
  2. Follow up with client

    1. When the client confirms the job, update the job’s status in its Edit Job window by clicking Status field’s options button > Change Status.
    2. In the Change Status panel, select Confirmed in *Status to be (required), then click Save. For more information, see Confirming jobs.
NOTE: Confirm linked job at same time

If there is a job linked to this job, a popup appears asking if you want to open the linked job. In most cases, a linked job is a video job for the depo being confirmed, so in those cases, click Yes. Then in the linked job’s View Job window, click Edit and continue from Step 2 above.

NOTE: Send multiple confirmations at once

Instead of sending confirmations one at a time, you can send batch confirmation (or cancellation) emails from RB. See Sending job confirmations or cancellations.

NOTE: Viewing status history

In an Edit Case/Edit Job window, click Status field’s options button > View Status History to see the log of status changes, when they happened, who was responsible, and any remarks they entered at the time.
