Sending job confirmations or cancellations

Save time when emailing confirmation or cancellation notices for jobs by sending them in batches.

  1. Select jobs

    1. Calendar > Send Job Confirmations/Cancellations
    2. Date defaults to today. Click search button in the Search By pane to see all new jobs you scheduled today, or use the Search By filters to restrict the results before clicking search button:
      • Confirmation Type

        Default is Confirmation.

        To send cancellation notices, select Cancellation in the drop-down.

      • Date Type

        Select a date category in the drop-down:

        • Job Date – To see jobs scheduled for a specific date/range.
        • Scheduled Date – Default. To see jobs entered into the calendar on a specific date/in a date range.
      • Date From/Date To

        Defaults to a range from today to blank. Click date navigator button in these fields to enter a different date range (see Date Navigator).

        TIP: For specific date, not date range, leave one field blank

        Instead of entering the same date twice when you want to search for information about a single day, enter the date in only one field and empty the other field. When you search, RB will use the same date for both fields.

      • Job No.

        Restrict the search to a single job by entering its job number.

      • Job Type

        Categories of jobs requested by clients. Default is ALL. Click lookup button to restrict search to specific job types (see Lookup panel). Job type options are set in Lists > Jobs.

      • Business Units

        Profit centers or parts of your business you track separately. Default is ALL. Click lookup button to restrict search to jobs tied to specific BUs (see Lookup panel). BUs are set in Business Units.

  2. Prepare results

    In the results pane, check the box(es) of the job(s) you wish to send confirmations/cancellations for. Note:

    1. Click Send.
    2. In the Options popup:
      • Select different options from the Form Group and Form drop-downs, if desired.
      • click Show mail composer to select Yes if you want to preview and/or edit the message(s) accompanying the job notice PDF. You can also add/delete attachments to the email(s). See Emailing from RB.
      • Select a different email address in the From drop-down if you don’t want to send the email from default address shown. Email addresses and the default are set in System Preferences > General > Email.
    3. Click OK. RB sends the email(s), makes an entry recording the email in the Notes Log of the job(s), and makes an entry in the Email Log (RB9 only).
    4. If an “operation successful” popup appears, click OK again.
