Confirming jobs

After sending out job confirmation notices, either singly or in batches, follow up with clients and record their responses in RB.

  1. View tomorrow’s jobs

    1. Calendar > Send Job Confirmations/Cancellations

    2. To see all new jobs scheduled for tomorrow, use the Search By filters:

      • Confirmation Type

        Leave as the default: Confirmation.

      • Date Type

        Scheduled Date is the default. Select Job Date in the drop-down.

      • Date From/Date To

        Works with Date Type. Default for both is tomorrow’s date. If desired, change it in the Date Navigator. Limited to a 30-day search range.

      • Job No.

        Leave blank.

      • Job Type

        Categories of jobs requested by clients. Leave as default: ALL.

      • Business Units

        Your company’s profit centers. Leave as default: ALL

    3. Click search button. RB lists all jobs scheduled for tomorrow in the results pane.

  2. Confirm jobs

    1. For each job with a Status of New, click its hyperlinked Job No.
      1. If the client has not contacted you, click View Job > Ordering Client.
      2. Click Scheduled By’s look up button and use the contact information in the General pane of the View Contact panel to confirm the job with the client.
    2. If the client reschedules the job, see Rescheduling jobs. Otherwise, to record the client’s response, click Edit in the View Job window.
    3. In the Edit Job window, update the job’s status by clicking Status field’s options button > Change Status.
    4. In the Change Status panel’s *Status to be (required):

      • If the client confirms the job: Select Confirmed. Then enter the name of the person who confirmed the job in Remarks.
      • If the client isn’t available but will call back to confirm: Select Will Call Back. Enter any comments in Remarks.
      • If the client cancels the job: Select Cancel. Then enter the name of the person who canceled the job in Remarks. See Canceling jobs.
    5. Click Save. RB updates Status in the Edit Job window.
TIP: Double-check that tomorrow’s jobs are confirmed

Review the Status column in Send Job Confirmations/Cancellations at the end of the day for any jobs still waiting for a call-back or not confirmed. Click the Status column header to sort jobs by their job status.
