Viewing & sending single invoices

View and update details in individual invoices. Not all information is editable. Send the original or current invoice to the client. You can also perform other functions, such as updating client and job information, uploading files to the repository, and exporting grids.

  1. View & update details

    In a View Invoice window, you can scroll or jump to different panes to view details.

    1. If you want to add or edit any information, click Edit in the View Invoice header.
    2. In the Edit Invoice window, not all information is editable. You can enter/update some text and selections:
      • General

        Basic information about the invoice and its related client(s), case, and job.

        • Print details on invoice – Click to select Yes to have services listed on the invoice.
        • Invoice Message – Your default/previously selected Invoice Message appears. Override for this order by entering the text you want or click lookup button to select a different invoice message in the Lookup Invoice Message window. Messages and the default are managed in Setup > Invoice Messages. See Setting up invoice messages.
        • Click any active detail button to view and edit details about the related client, job, or case (see Updating firms, Updating contacts, Updating jobs, or Updating cases).
      • Additional

        Client-submitted information related to the job, such as e-billing data.

      • Orders

        Witness and billed service item(s) information. Includes billed and outstanding amounts for taxes, fees, discounts, and other charges. Not editable.

      • Resource Pay

        Information about what the resource was paid for, when, and how much in relation to this invoice. Not editable.

        • Click any active detail button to view and edit details about the related Client Of or Sales Rep resource (see Updating resources).
      • Receivable Transactions

        Not in Post Invoices

        Information about any payments or other transactions related to this invoice, including amounts applied to discounts, fees, and other charges. Not editable.

      • Repository

        Invoice-related files, such as the invoice PDF.

      • Notes Log

        Automatic and manually entered notes about the invoice.

    3. In the Edit Invoice window, click Save to save your updates and return to the View Invoice window.
  2. Send invoice

    1. To send the invoice from the View Invoice window, click Send >

      • Email Original Invoice – To email the invoice as originally billed.
      • Print Original Invoice – To print and mail the invoice as originally billed.
      • Email Current Invoice – To email the invoice showing the current balance along with credits, payments and finance charges.
      • Print Current Invoice – To print and mail the invoice showing the current balance along with credits, payments and finance charges.
    2. Depending on your selection:
      • If you chose an email option
        Click OK in the Options popup to send the invoice immediately. If you want to preview the email, edit, or attach files, see Emailing from RB. After sending the email, RB makes an entry recording the email in the Notes Log of the invoice.
      • If you chose a print option
        RB opens the invoice in the Print Invoices window. Click print button. When finished, click Close. (See Printing PDFs from RB.)
    NOTE: You cannot send unposted invoices

    If you are viewing an unposted invoice from the Post Invoices function, there is no Send button because you must post the invoice first before sending it to the client. See Posting invoices.

  3. Export/print grids

    You can export and print the grid in any pane that has a export button button (see Exporting & printing results).
