Searching for invoices

Search posted invoices using a variety of criteria. View and update individual invoices. From search results, send original or current versions of invoices to clients.

  1. Use search criteria

    1. Search for invoices in either:
      • Billing > Send Invoices
      • Inquiry > Invoice Inquiry
TIP: Invoice Inquiry has the most search filters & is customizable

If you want to search by the Bill To Firm, use Send Invoices. Otherwise, Invoice Inquiry will usually be the best function for finding invoices when you don’t have the invoice number because it has the most search filters.

Also, Invoice Inquiry’s results grid layout is customizable, so you can set it up to show results as you want to see them, such as the column order, which columns are visible and which the list is sorted by. See Customizing grids.

    2. In the Search By pane, no specific filter is required, but you must use at least one of the search filters:
      • Invoice No.

To find a single invoice by its RB9-generated invoice number, enter the full invoice number.

      • Date Type
        • Invoice Date – Default. Date job was billed.
        • Job Date – Date job occurred.
        • Post Date – Date invoice was posted in RB9.
      • Date From/Date To

Works with Date Type. Enter dates in the fields or click calendar button to select dates in the Date Navigator.

      • Job No.

To find invoices for a job, enter the full job number.

      • Account Status

        Invoice Inquiry only

        • ALL – Default. Displays both paid and unpaid invoices.
        • Show Open Invoices Only – To see only outstanding (unpaid) invoices.
        • Show Paid Invoices Only – To see only paid or otherwise settled invoices (such as Voided).
      • Case

Click lookup button to find invoices for a case (see Looking up cases).

      • Bill To Firm

        Send Invoices only

      • Claim No.

        Invoice Inquiry only

To find an invoice by its claim number, enter the full claim number.

      • Client Matter No.

        Invoice Inquiry only

To find an invoice by its client matter number (a number designating the client combined with a number designating the case), enter the full client matter number.

      • Invoice Amount From/Invoice Amount To

        Invoice Inquiry only

To find invoices with billed totals within a certain dollar amount range, enter numerals only.

      • Ref. No. for Contact

        Invoice Inquiry only

To find an invoice for a Bill To contact who gave you a reference number to use on the invoice, enter the number.

      • Ref. No. for Resource

        Invoice Inquiry only

Some reporters or agencies who work for other agencies have their own reference number for their invoices. Enter part of the reference number to search for invoices that include services from a resource that sent you an invoice.

      • Invoice Type

Default is ALL. To limit which categories of invoices to search, click lookup button (see Lookup panel). Invoice types are set in Lists > Invoice.

      • Job Location City

        Invoice Inquiry only

Enter part of the city name where the billed job took place.

      • Job Location State

        Invoice Inquiry only

Default is ALL. Click lookup button to restrict the search to specific states, provinces, territories (see Lookup panel).

      • Business Units

Profit centers or parts of your business you track separately. Default is ALL. Click lookup button to restrict search to jobs tied to specific BUs (see Lookup panel). BUs are set in Business Units.

  2. View results

Click search button. RB9 lists all of the posted invoices that meet the specified search condition(s). Voided invoices appear in red.

TIP: Balance+ column in results grids shows balance of all related transactions

Both Send Invoices and Invoice Inquiry include an Invoice Amount column and a Balance+ column. Balance+ shows the current balance for the invoice including all fees added since the original invoice was issued, such as late charges and finance charges, and minus any payments already made. Invoice Inquiry includes a Balance column which displays the outstanding amount of the original invoice minus any payments.

NOTE: COD invoices & unposted invoices are not included in results

Because COD invoices are different from regular invoices and cannot be posted until paid, they are not included in Send Invoices or Invoice Inquiry searches. To find COD invoices, use Billing > COD Invoices. See Working with COD invoices.

To find unposted non-COD invoices, see Searching unposted invoices.
