Sending & archiving invoices in batches

Send multiple invoices to ordering clients or archive the invoices in your repository at once. You can also preview any invoice here before sending/archiving, update invoice details, and send individual invoices to clients.

  1. Preview invoices

    Before sending invoices, you can preview them to check for errors. To preview an invoice in the Send Invoices window, click options button next to the invoice and select:

    Click a hyperlinked Invoice No. in the results grid to view and update invoice details. You can also send the invoice to the client directly from the invoice detail screen. See Viewing & sending single invoices.

  3. Send/archive invoices

    1. When ready to send or archive invoices, click the box in the top left of the Send Invoices results grid header and check one or more of these boxes:
      • Don’t Send – To select clients who do not receive invoices (for archiving invoices).
      • Email – To select clients who want emailed invoices, and have been set to Email or Print & Email in their Invoice Sending Method (see Entering additional contact information).
      • Print – To select clients who want invoices mailed or otherwise delivered, and have been set to Print or Print & Email in their Invoice Sending Method (see Entering additional contact information).
    2. Click Apply. Then uncheck the box(es) for any invoice(s) you do not want to send this time.
    3. Click Send Invoices >
      • Email Original Invoices – To email the invoice(s) as originally billed.
      • Print Original Invoices – To print and mail the invoice(s) as originally billed.
      • Email Current Invoices – To email the invoice(s) showing the current balance along with credits, payments and finance charges.
      • Print Current Invoices – To print and mail the invoice(s) showing the current balance along with credits, payments and finance charges.
      • Archive Original Invoices – To store the invoice(s) as originally billed in your RB repository.
    4. Depending on your selection:
      • If you chose an email option
        Click OK in the Options popup to send the invoice(s) immediately. If you want to preview the emails, edit, or attach files, see Emailing from RB. After sending the email, RB makes an entry recording the email in the Notes Log of the invoice(s).
      • If you chose a print option
        RB opens the invoice(s) in the Print Invoices window. Click print button. When finished, click Close. (See Printing PDFs from RB.)
      • If you chose the archive option
        RB archives the invoice(s). When it finishes, click OK in the popup that appears.
