Posting invoices in Turn In
After previewing invoices, post them to your RB9 ledger (i.e., record the billed items) and send copies to ordering clients. Once posted, an invoice cannot be deleted.
Continued from Previewing invoices or Finalizing invoices.
- When an invoice is ready to be posted and sent to the client, click Post Invoices in the Turn In – Job # header.
NOTE: COD invoices cannot be posted
If after calculating an invoice, the Post Invoices button is grayed out, the invoice is a COD invoice. Because COD invoices in RB9 are not counted as sales, they cannot be posted or archived to the repository. Use the COD Invoices function instead to preview and send COD invoices. See Working with COD invoices.
- In the Post Invoices panel, all invoices are listed and selected. If you don’t want to post an invoice now, uncheck its box.
- Click:
- Post – To only post the invoices.
- Post & Archive – To post and archive the invoices at the same time.
- After posting successfully, posted invoices’ text changes to green and an popup appears, click:
- Yes – To send the invoice(s) to the ordering client(s) (and/or archive them if you selected Post above). This opens the Send Invoices window with these invoices in the results pane. See Sending & archiving invoices.
- No – If you have a lot of jobs to post and send invoices for, you can batch-send them later using Send Invoices.
NOTE: Finalize invoices as you go or in batches
Instead of posting invoices as you go in Turn In, you can batch post and send a group of invoices at once. To batch post invoices, see Posting invoices.
