Keep the status of items being tracked current by updating tracking information as the items move through production and into storage.
Continued from Monitoring production.
In the Edit Tracking window’s General pane, enter/update text or select other information:
Required. Title for the tracking item
Type of tracking item. Tracking item categories and default are set in Lists > Tracking.
Deadline date for the item. Can search Tracking by Item Due Date.
If service item request is canceled, enter the date
Number of units ordered
Number of units produced so far
Item’s urgency or order of importance
RB9 user responsible for overseeing the tracking item
If witnesses have been entered for this job in Turn In, they appear in the drop-down.
If the (ordering) parties have been entered for this job in Case, Job or Turn In, they appear in the drop-down.
If you selected a Contact, the contact’s firm automatically fills in.
Any special notes that staff needs to see when producing/completing the tracking item
In the Media pane, enter/update text and selections if the item being tracked is a recording of some sort, usually video:
Current archival status of original media, such as DVD. Archival Status options are set in Lists > Tracking.
Access level for the media. Classification options are set in Lists > Tracking.
Any remarks or other information about the item or its handling
Description of location of media
If a deposition was recorded, use Media Set panel to document the source tapes and their archival status. See Entering video information.
Deadline for next step. Default is calculated based on number set for the step in Setup > Tracking Steps.
Any special notes for the new step
Click Save.
If you move to the last step in the workflow, RB9 will automatically complete the tracking item by changing Status from “In Progress” to “Completed.” End Date will default to today’s date.
