Prefilling parties & services

Instead of entering parties and services manually, use RB9’s prefill options to have RB9 create invoices that automatically include parties and their standing orders or previously ordered services. At the same time, you can tell RB9 which tasks have been completed to have it update the Tasks in Progress list automatically.

  1. Find parties to prefill

    1. In the Invoices pane of the Turn In – Job# window, click prefill button > Prefill Orders & Services.
    2. In the Prefill Orders & Services panel, defaults include:
      • Consolidate Invoices

        RB9 will include all of a firm’s orders on this job in the same invoice. If you want separate invoices for each order, resulting in multiple invoices for the same firm, click to select No.

      • Create Service Items

        RB9 will include the service items from selected parties in the next step when creating orders. If you want to create blank invoices and add service items later, click to select No.

    3. Parties related to the job appear in panes. Check boxes of parties you want to invoice:
      • From Case

        Parties that were entered at the case level and flagged to appear in Turn In prefills are listed.

      • From Job

        Parties that were entered in the job are listed under the witness(es) turned in.

      • From recent 50 Turn-Ins

        Parties that ordered services from the most recent jobs tied to the case.

    4. TIP: Check recent orders first

      If the job is part of a case that was set up during pre-trial discovery, parties were probably added to get access through RB Connect to the related calendar and repository files and might not have any preferred services. However, it’s highly likely that parties to a case that have ordered services on previous jobs in the case will order the same services for similar jobs on the same case, so check From recent 50 Turn-Ins to see if parties appear there.

      NOTE: Missing parties?

      Parties to a case or job do not appear in these lists unless the Show in Turn-in > Prefill box is checked in the party’s General pane. See Entering general party information. (You can also add parties manually later. See NEXT: Add other parties/edit invoices below.)

    5. Click Create Invoice(s). RB9 assembles invoices for each of the selected parties listing the witnesses and the party’s preferred services and opens the Set Turn In/Completed Date panel.

      TIP: Color-coded invoices

      You can easily locate invoices in the Turn In – Job detail window because the background of invoice listings is yellow, while listings for witnesses and service items have white backgrounds. Also, text for invoices in progress is black, text for posted invoices is green, and text for voided invoices is red to quickly differentiate them from each other.

  2. Check off completed tasks

    When you create an invoice, RB9 gives you the option to check off job-related assignments as completed. This keeps your resource work load reports (Tasks in Progress) accurate.

    1. In the Set Turn In/Completed Date panel, check the box(es) of the task(s) being invoiced to the prefilled parties.
    2. Click Set Turn In/Completed Date.
    3. In the popup that appears, click OK.
NOTE: Keep task status up to date

If you don’t check all the boxes of completed tasks here, you can note completed tasks in Tasks in Progress later.

NEXT: Add other parties/edit invoices

Additional parties: If there were ordering parties at the job who did not appear in a Prefill list, add them manually. See Adding ordering parties manually.

Incorrect invoices: If any of the invoices created is incomplete or incorrect, you can update it by removing services not ordered on this job, adding other service items, and re-arranging the order of how they will appear on the invoice. See Adding & updating services.
