Preparing to use QuickBooks Desktop with RB9
RB9 only
Before you can import RB9 data into QuickBooks Desktop, you must enter your QuickBooks information in System Preferences, download the Remote Connector for QuickBooks web-based proxy from QuickBooks, and set it up to enable secure remote access to your QuickBooks.
NOTE: QuickBooks Online has different set-up
If you subscribe to QuickBooks Online version, refer to the instructions in QuickBook preferences to set up your QuickBooks to work with RB9.
TIP: Increase QuickBooks Integrator’s performance
Always launch QuickBooks before using QuickBooks Integrator. This makes the import process over 300% faster than without launching QuickBooks first.
- Download and install the Remote Connector tool from https://cdatabuilds.s3.amazonaws.com/support/RemoteConnector.exe
-
After downloading, start the .exe file on the machine where QuickBooks is installed.
- In the Remote Connector for QuickBooks Setup screen, click Next.
- In the License Agreement screen, click I Agree.
- In the Choose Install Location screen, click Next.
- In the Choose Components screen, click Next.
- In the Choose Start Menu Folder screen, click Next.
- In the Installation Options screen, click Next.
- In the Ready To Install screen, click Install.
- When the installation completed successfully screen appears, click Finish.
- Start QuickBooks, then open the Company File you want to connect to in QuickBooks using an administrator account in single-user mode.
- Open Remote Connector from the system tray and on the Users tab, click Add.
In the Add User screen, enter User and Password.
NOTE: Remote Connector users are separate from QuickBooks users
The Remote Connector does not use these User and Password properties to access QuickBooks; the User and Password properties authenticate the user to Remote Connector. Authentication to QuickBooks is handled based on the Application Name property.
- Select the level of access in the Data Access menu. By default QuickBooks connects to the currently open company file. If you want to access QuickBooks when QuickBooks is not running (although this will be signicantly slower than with QuickBooks open), specify a path to the company file you want to access.
- When you first connect, a dialog will appear in QuickBooks prompting you to authorize the application. In the Authorize Now? window, click Yes.
- In the Application Authorization window, click OK.
- In the QuickBooks – Application Certificate screen, change the following:
- Choose Yes, always; allow access even if QuickBooks is not running, then choose Login as account.
- Check Allow this application to access personal data such as Social Security Numbers and customer credit card information.
- Click Continue…
- In the Access Confirmation screen, click Done.
- In the Authorization Successful window, click Yes.
- By default, Remote Connector for QuickBooks uses the port number 8166. If this port is used by another application, enter a different number in Port in the Connection Settings section on the Advanced tab in the Remote Connector for QuickBooks screen.
- Also on the Advanced tab, check the Enable Persistent Connection box in the Connection Settings section. Normally the remote connection closes between requests, which can slow down information importing and cause errors when you have multiple, small requests, such as importing data from RB9. If you check this option, you can reuse the same connection to QuickBooks for all of the imported RB9 data during a single session, which will save time between requests made in short succession.
- In your firewall, allow QuickBooks IP and the port number to be accessed from outside.
