Sending letters to witnesses

RB9 only

Correspond with a witness about the transcript of their deposition using RB9 form letters, which automatically include relevant details. Edit the letter before emailing or printing the letter to send. If emailing, you can add or remove Cc and Bcc contacts, enter a custom Subject line, and attach files.

  1. Set up recipient

    1. In the Letter to Witness window, basic job and case information appears at the top. Click view edit button next to any field to view and edit details, if desired.
    2. Any deponents for the job are displayed in the Witness pane with the first witness selected. Click the Send To radio button of a different witness to change the letter recipient.
    3. Enter the witness’s mailing address in:
      • Address 1

        Street address, P.O. box, company name, c/o

      • Address 2

        Apartment, suite, building, floor, etc.

      • Address 3

        City, State ZIP

    4. Enter the witness’s name as you want it to appear in the letter’s salutation in Dear.
    5. All of the contacts ordering transcripts are displayed in the Parties pane with the Include box checked.
      • If you do not wish a party to be cc’ed on the letter, uncheck their box.
      • If a party does not appear in the list, click add button to look up the party. See Looking up contacts.
    6. Click Next.
  2. Select letter

    1. In the Select a Letter panel, click the desired letter template in the Form pane. (If template doesn’t appear in the pane, select a different set of forms in Form Group.)
    2. In Send Method:
      • Email
        Default method of sending letters.
      • Print

        To send letter via the post or other delivery service.

    3. Click Next.
