Selecting preferred or requested services

If a party to a case or job has standing requests or has requested specific services for this case/job, you can enter that in their party information to speed up invoice generation later.

Continued from Adding parties or Updating parties.

You have two options when adding services to a party to a case or job:

  1. Check for standing requests

    When adding services to a party, save time and reduce errors by checking first, so you do not overlook any standing requests.

    1. Navigate to the Edit Party panel of a party in either a case or a job. (See Adding parties or Updating parties.)
    2. Scroll or jump to the Requested Services pane.
    3. Click prefill button > Prefill Services.
    4. In the Prefill Services panel, your client’s standing orders (if any) appear, grouped by firm and contact. In the Preferred Services pane, check either the box:
      • Next to each service the contact has requested for this job.
      • In the Service Item header to select all the services.
    5. Click Prefill.
  2. Add new requests

    1. If after using Prefill Services, you have more services ordered by the party, click add button in the Edit Party’s Requested Services pane.

      In the New Requested Service panel, enter text or select options:

      • Service Group

        Defaults to “9. Misc. Charge.” Most requested services will appear in subgroups here. Change if needed. (Service listings and their groups are created in Setup. See Service Item Subgroups and Service Item Master.)

      • Service Subgroup

        Service Subgroup that contains the service requested

      • *Service Item

        Required. Service requested.

      • Units

        Default is “1.” Enter a higher number if needed.

      • Split (%)

        If several parties are sharing the cost of this service item, the percentage allocated for this party (e.g., “50.000” for one half or “33.333” for one third).

      • *Effective From

        Required. Appears in services for parties to a case, not individual jobs. Default is today. Jobs created from the case going forward from the Effective From date will include the requested service.

      • Inactive From

        Use if a service will no longer be required for jobs in an on-going case. Appears in services for parties to a case, not individual jobs.

      • Delivery Method

        Requested or expected delivery method. Options are set in Lists > Production.

      • Turnaround Type

        Requested turnaround time for the requested service. Options are set in Rush Type Master.

      • Due in days

        Default number come from the firm’s preferences first (see Adding standing requests); then if that is blank, from the business unit’s preferences (see Setting up business units). You can override the default by entering a number in this field.

      • Instruction

        Any information your staff needs about the requested service in the field.

    2. Click Save >

      • Save & New: To save the service to the party and add more services.
      • Save & Close: When you have no more services to add to the party.
    3. Click Save in the Edit Party panel.

Once you have created a case or job, you can enter information in the Edit Case/Job window in any order, but our recommendation is to enter any specialties required for the job after entering requested services and before assigning tasks, so they do not get overlooked. See Specialties. If there are no specialties to enter, the next step is entering tasks.
